Import sales from Shopify, Etsy and Square

Not connected, or selling somewhere that doesn’t sync? Download the sales file and Batchwell records it: finished stock comes off by lot and margins stay right.

Find it Sell → Import sales (Shopify, Etsy, Square) (or Sales channels → Match orders or import a file)

Steps

  1. Download the file from where you sell. The steps for each are below, and on the import page.
  2. In Batchwell, open Sell and tap Import sales (Shopify, Etsy, Square).
  3. Choose the file under Orders file (.csv). Batchwell tells which kind it is and says so, like “Reading your Etsy file: 42 lines”.
  4. Check Count orders from. It starts at your first released batch, so older sales don’t push stock below zero.
  5. Under Match these to your products, choose the product for each new item name. A gift set can be more than one product: tap + Product. Tap Save match. Not something you make? Leave it and it’s skipped.
  6. Check Ready to record and tap Record, like “Record 37 units”.

Getting the file

  • Shopify: in Shopify admin, Orders → Export → choose the dates → “CSV for Excel, Numbers, or other spreadsheet programs”. Download it from Shopify’s email.
  • Etsy: Shop Manager → Settings → Options → Download data → choose Orders and Order Items for the month → Download CSV.
  • Square: Square Dashboard → Reports → Item sales → set the dates → Export → Items detail CSV.

Where the sales land

  • Shopify and Etsy sales are recorded as online sales, with the order number.
  • Square sales are recorded as market sales. On a day you have a market in Batchwell, they go to that market and count on its scorecard. On other days they’re marked Square, with the location.
  • Etsy prices are what the buyer paid each, after the item’s discount.
  • Matches are saved. Next time the same item name matches by itself.

Good to know

  • Buyer names and addresses in the file are never read or kept.
  • Importing the same file twice won’t record a sale twice.
  • Cancelled, unpaid and fully refunded Shopify orders are skipped. Square refunds are recorded as returns, so the units go back on the shelf. If a refunded item didn't come back, record it as damaged or waste from Products.
  • A partly refunded order is marked. Record the return in Products.
